What’s new in ProvePrivacy
Releases v9.0, v9.1 and v9.2
With the introduction of the DSAR redaction tool, the end of July finished with a flurry of updates. These bring three sets of improvements to the ProvePrivacy platform, each aimed at removing friction from a task you already do. Redaction takes a manual, time consuming step out of every DSAR case. Admin changes make it easier for us to keep user accounts and licences accurate as adding a redaction log for the DS Rights module. And a refreshed email design makes every notification easier to read and act on.
v9.0: Redact DSAR documents in minutes, not hours
This is the headline change in this update, so we’re leading with it.
Preparing documents for disclosure in a data subject access request is one of the most time consuming parts of a Rights team’s workload. Every page has to be checked for personal data belonging to other people before it can be released, and doing that by hand is slow and easy to get wrong.
With this release, redaction is now part of your normal case workflow rather than a separate task. Here’s what that means for you:
- Less manual redaction, more confidence in the outcome. You can now send PDF and Word files straight from a case for AI assisted redaction, powered by AI. The redacted file comes back into the same case, ready to review and release, so you are not exporting documents, redacting them elsewhere and reuploading.
- A clear record of what happened, every time. Each redaction run is logged: which files were sent, which came back, who started it, and when. Returned files are kept together with the run that produced them, so you can see exactly what a session covered, months later if you need to. This is useful evidence if you ever need to demonstrate how a case was handled.
- No surprise costs. Credits are only ever used once a run has genuinely completed, so you only use what you process.
- No last minute blocks. If your organisation is getting low on redaction credits, or has run out, the people who manage your Rights cases are alerted so you can top up before it holds up a response.
- Case files are better protected. Access to view or download files on a Rights case is now checked against who is asking, so sensitive material is less likely to be opened by someone who should not see it.
Put together, this means DSAR responses that used to take hours of manual page by page checking can now be turned around faster, with a clearer audit trail and fewer opportunities for a mistake to slip through.

v9.1: Admin that keeps pace with real life
Small admin frictions add up. This release clears a few of the ones our admin experienced most often.
Update a user’s email after a name change, without a support ticket. If someone in your organisation changes their name or email address, administrators can now update that user’s sign in email directly. The platform checks for clashes with existing accounts, so the update is safe and the person can carry on signing in without interruption.
Unlimited licensing that actually looks and behaves like Unlimited. If your organisation is on an Unlimited plan, your settings now show that clearly, and you will not be stopped by a seat limit that should not apply to you. For organisations with related companies, licence limits are applied consistently across the group, so what you see matches what you are entitled to.
v9.2: Every ProvePrivacy email, one clear design
Almost every email ProvePrivacy sends you, covering documents, risks, breaches, data subject rights, freedom of information, technical controls, the Learning Centre and your account, now shares a single, consistent design.
Easier to trust at a glance. A consistent ProvePrivacy header, logo and footer make our emails easier to recognise, so you can trust what you are looking at before you even read the content.
Easier to act on. Every email opens with a short label and headline, explains why you have received it, and sets out what to do next, with a clear button where action is needed.
Consistent wording, wherever it comes from. Similar events, such as an action being assigned, completed, closed, reopened or given a new target date, now read the same way across every part of the platform, so you are not relearning the tone each time.
Corrected copy. We have fixed a number of small inconsistencies, for example risk reopened notifications now correctly say risk rather than incident, and freedom of information action emails correctly name the request and the person involved.
Reliable links. Reminder and deadline emails now link to your own organisation’s site address, so buttons always take you to the right place.
Help is always close by. Every email ends with a link to support and the ProvePrivacy website.
Notifications are often the first step into a task, so a clearer email means less confusion, fewer questions about what to click, and faster progress on reviews, investigations and training, whether you are a document owner, an investigator, a Learning Centre manager or a first time invitee.

What you need to do
Nothing is required to benefit from this update. Most people will simply notice that account edits and licence displays feel less clunky, and that ProvePrivacy emails look and read more consistently.
If you handle DSARs, it is worth a few minutes getting familiar with redaction run history and credit alerts, since they are now part of your case workflow.
